1. Who we are

This privacy policy explains how Swift Transport (“we”, “us”, “our”) handles personal data collected through our website theswiftgroup.co.uk.

We are the “data controller” for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What information we collect

When you submit our quote or contact form, we collect:

  • Your name
  • Your email address
  • Your phone number
  • Your company name (optional)
  • Shipment details — pickup & delivery postcodes, type of goods, weight, dimensions, dates and any notes you provide
  • The exact wording of the consent statement you ticked, plus the date and time of submission

We do not use marketing cookies, analytics cookies or third-party tracking on this site. Only strictly-necessary cookies required to operate the website are used.

3. Why we collect it (lawful basis)

We process your data on the following bases:

  • Consent (Article 6(1)(a)): you tick the consent box on the form to allow us to contact you about your enquiry.
  • Contract (Article 6(1)(b)): if your enquiry leads to a booking, we process your data to deliver the service you've requested.
  • Legitimate interest (Article 6(1)(f)): to keep records of enquiries for fraud prevention, dispute resolution and quality assurance.

4. How long we keep it

Enquiry submissions are automatically deleted from our database 24 months after you submit them, unless they have led to an active customer relationship (in which case standard business retention applies for invoicing and tax records — typically 6 years for HMRC compliance).

5. Who we share it with

We never sell your data. We share it only with:

  • Our hosting and database provider (Lovable Cloud / Supabase, EU region) — to store the submission securely.
  • Our email delivery provider (Resend) — to deliver the notification email to our sales inbox.
  • Law enforcement or regulators — only if legally required to do so.

All providers are bound by data-processing agreements consistent with UK GDPR.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate data
  • Erase your data (“right to be forgotten”)
  • Restrict or object to processing
  • Withdraw consent at any time
  • Data portability — receive a copy of your data
  • Lodge a complaint with the UK Information Commissioner's Office (ico.org.uk)

7. Security

Your data is encrypted in transit (HTTPS) and at rest. Access is restricted to authorised Swift Transport staff. We use modern infrastructure with row-level access control to ensure the public cannot read enquiry submissions through the website.

8. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of the page reflects the most recent revision. Material changes will be highlighted on the website.
